Diversity and inclusion initiatives. About the Role: Eastern Construction is looking for a Proposal Coordinator to create winning proposal submissions. The Proposal Coordinator role plays an integral role in the preparation of client proposals and will support the team with securing new and continued projects. The successful candidate is an eager individual with strong communication and interpersonal skills to help execute proposals for new and existing clients, and possess strong multi-tasking and time management abilities to keep up in a fast-paced environment. Years of Experience : Minimum of 2 years of experience as a Proposal Coordinator or in a related role (communications, marketing, visual communications). Education: Postsecondary degree or diploma in marketing, communications, journalism, or equivalent. Proficient knowledge of Adobe Creative Cloud (InDesign, Illustrator, & Photoshop), Microsoft Office, and other relevant software. Association of Proposal Management Professionals (APMP) practitioner certification, Certified Professional Services Marketer (CPSM) certification, or equivalent is preferred. Key Responsibilities: Under minimal direction, completes layout and production of proposal material with a contemporary style. Translates proposal themes into compelling graphics and infographics. Evaluates narratives for relevance, comprehension, and applicability. May write new proposal narrative as required. Accurately proofs, edits, and rewords text to deliver a high-quality, compliant, errorfree submission on time. Assists with the proposal planning process, including review of client requirements, development of proposal outline and creation of timeline/assignments. Conducts client background research, identifies questions, concerns and potential risks to inform the ‘strategic visioning’ and proposal planning stage of the process. Develop and maintain proposal-tracking matrix. Assists with developing overall proposal strategy and applies it to the proposal in a manner that is compliant with the client requirements and consistent with corporate objectives/policies/goals. Schedules, coordinates, and may take a lead role in the proposal strategy and planning sessions. Collaborates to prepare a proposal plan/strategy, including a comprehensive “Responsibility Matrix” mapping specific deliverables to proposal stakeholders, deadlines, and functional/technical requirements. Proactively tracks and maintains communication and assignments among all team members (local and remote stakeholders) to ensure internal deadlines are met. Assembles/reviews responses for compliance, accuracy, and content, and participates in review sessions to ensure integrity of content. Develops and maintains strong stakeholder relationships. Other duties as required. Qualifications: Strong project management, organizational, and time management skills to effectively establish the priority and scheduling of work tasks. Strong attention to detail, good judgement, and ability to problem-solve. Strong verbal, written, and visual communication skills. Ability to produce grammatically sound written communication with a customer focus. Strong working knowledge of proposal fundamentals and best practices. Highly developed personal communication skills with an ability to collaborate with a diverse group sensitively, tactfully, and diplomatically. Excellent proofreading skills.
